From Handcrafted Policy

At Handcrafted, we rely on electronic devices to communicate and store information all the time. However, this comes with some risks. Not only do our devices hold a lot of personal information about us but also we are privileged to have private information about individuals whom we have a duty to keep safe.

The standards of safety and fair use that you may apply in your everyday personal use of phones, laptops and PCs may be less stringent than those expected of you as a Handcrafted Employee. Whether you are using your own device or one provided by Handcrafted, you are expected to adhere to the following guidelines. For full details, please refer to the Electronic Devices Policy.

Acceptable Use of Electronic Devices

  • Device Access: You may use your mobile devices to access company resources such as email, calendars, contacts, documents, and cloud drives.
  • Driving Restrictions: Handcrafted has a zero-tolerance policy for texting or emailing while driving. Limited hands-free talking is permitted but not encouraged.

Security Measures

  • Device Protection: All devices must be password or passcode-protected. Devices should automatically lock after five minutes of inactivity.
  • Data Protection: Contact details of trainees stored on devices must not be personally identifiable (use first names, nicknames, or initials).
  • Software: Unauthorised software must not be installed on Handcrafted's portable devices.
  • Authentication: Wherever available, 2FA (Two-factor authentication) must be enabled.

Risks and Liabilities

  • Lost or Stolen Devices: Report any lost or stolen devices that may hold Handcrafted data within 24 hours. Notify your mobile carrier immediately.
  • Liability: You are responsible for all costs associated with your own devices and assume full liability for any risks, including data loss due to technical failures.
  • Disciplinary Action: Noncompliance with our Electronic Devices Policy may lead to disciplinary action, up to and including termination of your contract.

Password Security

  • Password Creation: Passwords must be at least eight characters long and include a mix of upper and lower-case letters, and numbers. Avoid using easily guessable combinations.
  • Unique Passwords: Each Handcrafted account must have a unique password, different from any personal accounts.
  • Protecting Passwords: Do not share your passwords with others, and be vigilant against phishing and other scams. Avoid writing down passwords or using password managers.

Social Media Use

  • Personal Use: Occasional personal use of social media is allowed as long as it doesn’t interfere with work duties or involve inappropriate content. Be aware that your use of Handcrafted systems, including email and social media, may be monitored.
  • Work-Related Use: If you use social media as part of your job, ensure you have the appropriate authorisation and comply with all relevant policies.
  • Prohibited Actions: Do not make defamatory statements, share personal information without permission, harass others, breach data protection laws, or disclose confidential information. Always make it clear when you are expressing personal views and not those of Handcrafted.
  • Reporting Misuse: Any misuse of social media should be reported to Dan Northover.
